Practical AI for small businesses – built by an accountant
Most small businesses do not need an AI strategy deck. They need the hours back that disappear into data entry, chasing paperwork, copying numbers between systems and building the same report every month. Mentor Tax & Advisory designs and builds AI tools and custom business apps that take that admin off your plate. It's a service few accounting firms offer, built by an accountant who understands your numbers.
What we build
Admin automation
Tools that read invoices, receipts and forms, extract the details that matter and send them where they need to go – into Xero, a spreadsheet, a job management system or an approval queue for a person to check.
Reporting automation
Reports that pull from your accounting system and other business data and arrive ready to read, with plain-English commentary on what changed. Less time assembling numbers, more time acting on them.
Client workflow apps
Custom apps that handle onboarding, document collection, reminders and status updates for your own customers, so fewer things fall through the cracks and your team spends less time on follow-ups.
AI assistants for your team
Assistants set up to answer questions from your own procedures, price lists or policies, draft routine emails and summarise long documents – with clear rules about what they can and cannot do.
A real result
We built an AI-powered workflow app for one of our clients that now saves them around 15 hours of admin every week. Every business is different, so we will not promise the same outcome for yours – but that is the kind of practical, measurable result we aim for. Each project starts by estimating the time a tool could realistically save before anything is built.
Signs your business is ready for automation
- Someone on your team spends hours each week typing the same information into more than one system.
- Month-end reports take days to pull together and are out of date by the time they are read.
- Customers or suppliers regularly need chasing for documents, approvals or payments.
- Important steps depend on one person remembering to do them.
- You have grown, but your admin processes have not changed since you started.
If two or three of these sound familiar, there is a good chance a well-designed tool will free up meaningful time.
How an engagement works
1. Workflow review
We sit down with you and map how the work actually happens today: who does what, which systems are involved, where the double handling is and where errors creep in. Then we identify the tasks where automation will pay off and the ones that should stay with a person. You get a short written plan with the options, the likely effort and what each could save.
2. Build
We build the agreed tool, starting with the smallest version that delivers value, and test it on your real work before it goes live. Where an off-the-shelf product already does the job well, we will recommend it rather than build something custom.
3. Training and handover
We train the people who will use it, document how it works and set up simple checks so you can see it is doing its job. Ongoing support and improvements are available as your business changes.
Privacy and care with your data
As a Registered Tax Agent we already handle sensitive financial information every day, and we apply the same standards to AI work. Before we build, we agree what data the tool needs and limit it to that. We tell you which services the data passes through and where it is stored, use business-grade providers whose terms don't use your data to train their models, and keep a person in the loop for decisions that matter. Client and employee information is never shared beyond what the workflow requires. Automated records still need to meet the ATO's record-keeping rules, including keeping most business records for 5 years, and we design with that in mind.
Why an accountant?
Automation that touches money needs someone who understands the numbers. An AI tool that codes transactions, prepares reports or tracks client billing has to get GST, payroll and reconciliations right, and has to fit with how your accounts and tax return come together at year end. Because we are accountants first, we know where the risks are, what the ATO expects, and which shortcuts create problems later. Read more in our article on AI for small business.

Frequently asked questions
What kind of tasks can AI automate in a small business?
Good candidates are repetitive tasks with clear rules: reading invoices and receipts, entering data into Xero or other systems, chasing documents from customers, preparing regular reports, drafting routine emails and answering common questions from your own procedures. Tasks that need judgement, relationships or sign-off usually stay with a person, with AI preparing the groundwork so they take less time.
How much time could an AI tool save my business?
It depends on how much repetitive work you have and how it is done today. One workflow app we built for a client saves around 15 hours of admin a week, but we will not promise that for every business. Our workflow review estimates the realistic saving for each task before we build anything, so you can decide whether it is worth doing.
How does an engagement work?
There are three stages. First, a workflow review where we map how work happens now and find the tasks worth automating. Second, the build, starting with the smallest useful version and testing it on your real work. Third, training and handover, so your team knows how to use it and how to check it is working. Ongoing support is available if you want it.
Is my business and client data safe?
We treat it with the same care as the financial information we handle as a Registered Tax Agent. We limit tools to the data they actually need, tell you which services the data passes through and where it is stored, use business-grade providers whose terms don't use your data to train their models, and keep a person in the loop for decisions that matter.
Why use an accountant for AI and automation?
Most admin automation touches money: invoices, payroll, GST coding, reconciliations and reporting. An accountant understands how those numbers need to flow into your BAS, financial statements and tax return, and what the ATO expects you to keep. That means fewer errors to unpick later and tools that fit the way your accounts actually work.
Do I need to be on the Sunshine Coast?
No. We work with businesses across the Sunshine Coast, including Noosa, Coolum Beach, Maroochydore, Mooloolaba, Buderim, Caloundra and Gympie, but AI projects run well remotely. We take on clients anywhere in Australia, with workshops and training held by video where needed. Business owners can start with a free 30-minute consultation.
