Five practical ways small businesses can use AI right now

By Blake Land, Director · 8 October 2026

AI isn't just for big companies. Used well, it takes repetitive admin off your plate so you can spend time on customers and growth. Here are five places we see it working for small businesses right now.

1. Inbox and customer replies

AI tools can draft replies to common enquiries, summarise long email threads and pull out the actions. You review and send, so you stay in control while cutting the time spent typing.

2. Quotes, proposals and job descriptions

Feed in your past quotes and standard wording, and AI can produce a first draft in minutes. That's especially useful for trades and professional services that write similar documents every week.

3. Bookkeeping and receipts

Modern accounting software already uses machine learning to code transactions and read receipts. Combined with good bank rules in Xero, it can cut month-end work dramatically.

4. Reporting and cash flow insights

Ask plain-English questions of your numbers: which customers pay late, which jobs made money, what next quarter's cash looks like. AI can turn raw data into a short summary you'll actually read.

5. Custom apps for your workflow

If you're juggling spreadsheets, paper forms or double handling, a small custom app can join it all up: job tracking, client onboarding, compliance checklists. These are now far cheaper and faster to build than they were even a couple of years ago.

What to watch

  • Privacy: don't paste client tax file numbers or sensitive personal data into public AI tools.
  • Accuracy: AI can be confidently wrong. Always check numbers and anything legal or tax-related.
  • Start small: automate one painful task first, measure the time saved, then expand.

How we help

We advise on AI tools for your business and build custom apps that automate admin, reporting and client workflows, from strategy through to build.
